[1904-ANWG] Contributions for April meeting guideline reminders.



All,

 

A number of people replied by either sending me the slides/document by email or just stating that a contribution will be ready and asked to put them on the agenda.

This information is insufficient – that is why I request all the agenda requests to be made via online forms (see URLs below)

 

Besides your contact information, these forms contain other mandatory fields: the title of the contribution (as will appear on the web and in the agenda) and requested time. Without this information, I cannot create the agenda.

Even if your presentation or document are not ready yet, or even if you don’t plan to present anything, but only want to have a discussion and/or a motion, please still submit the agenda request online.

 

As I mentioned before, the forms are password protected to cut down on phishing and spam. The username/passwords are shown at the beginning of each meeting. If you forgot it, please contact me directly.

 

 

Another point is about naming your files. Please maintain consistent naming as shown on the web:

 

The presentation file should be named using the following template: tf2_YYMM_lastname_n.pdf, ( or tf3_..., or rmtf_..., or anwg_...) where

  • YYMM is year and month of the meeting,
  • lastname is the last (family) name of the main author or the presenter, and
  • n is an index used to differentiate multiple presentations made by the same author at the same meeting (n = 1,2,3, …).

If you make a revision of a previously posted contribution, keep the same “n” at the end, and add a letter (a, b, c,…).

Unless your contribution includes text or figures you propose for inclusion in the draft, please submit it in pdf.

The above applies to all individual contributions you make.

 

However, various reports or other materials that you prepare as part of your duties as an officer of the working group of a task force should state the document type instead of the last name.

For example:

anwg_1502_exec_report.pdf

tf2_1502_opening.pdf

 

Following these guidelines will simplify tracking of all submitted contributions, facilitate the preparation of the agenda, and expedite their uploading to the web.

We have been using these naming conventions since the beginning of SIEPON WG in 2010. However, if you would like to suggest any improvements, please talk to me at the next meeting.

The deadline for the contributions for our April meeting has passed, yet I received no contributions. It seems that submitting post-deadline contributions has become the new norm. I understand that everyone is busy, but without the contributions (or at least the requests for agenda time), I am unable to prepare the meeting agenda.

 

Please, submit the contributions (or request the agenda time, if the contribution is not yet ready) using “Submit Presentation” form on each TF page:
